Availability of Policyholder Letter in eDOCS and Actual Cash Value Verification for PR Manufactured and Mobile Home Policies: Discontinuing Quarterly Agency-Direct Emails

As announced in Agent Technical Bulletin #010-11, Citizens is re-evaluating all Personal Residential manufactured and mobile home policies to ensure that they are valued properly.
In the past, Citizens sent quarterly Agency-Direct Emails (ADEs) with lists of affected policies to agency principals. These ADEs have been discontinued, however. Instead, agents will receive notifications via eDOCS when mobile home valuation notices are mailed to policyholders.
Citizens will mail letters to affected policyholders approximately 180 days prior to the policy’s expiration date. Policyholders will be advised to provide their agent with information about their home to help complete the cost estimator.
To ensure that you receive alerts when the policyholder letters are mailed, you must verify that your eDOCS delivery preferences are set properly. To do this, log into eDOCS and:
- Select Profile.
- Select Delivery Preference.
- Select Edit for MH Re-evaluation – Policy Holder.
- Select E-mail.
- Complete the information, and select Submit.
You must complete new ePAS cost estimates for your impacted policies at least 150 days prior to each policy’s renewal date; this is a change from the 60-day requirement noted in Agent Technical Bulletin #010-11. (The requirement to prepare new cost estimates at least 150 days prior to renewal – rather than the earlier 60-day requirement – was announced in an ADE sent June 22, 2012.)
When you receive an alert, you should take action promptly. If we do not receive an updated valuation at least 150 days before a policy’s renewal date, Underwriting will use the information in our files to revalue the risk.
